Sometimes the Salesforce sales agent needs to visit a client site in a remote area where there is no internet connection. During the visit, the agent must verify customer details, contacts, and open opportunities.
Now, the agent wants to access and update the client record, but without internet access, this is usually not possible. For this purpose, Salesforce offers a feature called Briefcase Builder to address this issue.
Using this feature, the agent can download only the required records, work on them offline, and once the internet is available again, all changes are automatically synced back to Salesforce.
In this article, we will learn about how to create a briefcase builder in Salesforce. In this, I will explain their features, setup, and how to use them in Salesforce.
Briefcase Builder in Salesforce
In Salesforce, the briefcase builder is defined as a tool or functionality that allows users to create and manage documents or files within their Salesforce instance. It is also a moving container used to transport important documents.
This briefcase builder usually refers to a tool or functionality that allows users to create elements of their Salesforce platform, such as custom objects, user interfaces, and workflows.
This briefcase builder also includes functions such as uploading and sharing documents, organizing files, and managing other business processes.
It helps users choose and share the records offline. It enables us to create a simple, offline platform experience. It also helps us to ease the user’s work once they are offline.
We can use the briefcase builder as a briefcase and select the important information we need to integrate. Assign the user and teams to the briefcase and activate it when required.
Create a Briefcase Builder in Salesforce
Below, I will explain how to set up and create a Briefcase in Salesforce to make specific data available offline for users.
This helps sales agents or field service teams access and update records even when there is no internet connection. Once they are back online, all changes automatically sync with Salesforce.
To create the briefcase in Salesforce, go to the Home Page. -> In the Quick Find Box, Search for Briefcase Builder. -> Click on it.
Click the New Briefcase button to set up a briefcase in Salesforce.

Provide a Name for your briefcase example: Sales Agent Briefcase. This name helps you identify it later. The Deleloper Name will be automatically populated. Then click the Next button to proceed.

After saving, click the Add Object (+) icon. Select the standard or custom object you want to include. Here I have added the Account object.

Here, we need to decide which fields and records you want to make available offline. For example, you can choose only the Account Name, Phone Number, and Email fields instead of all fields.
You can also filter the records, such as downloading only the Accounts in a specific region.

After that, we have the option to Filter by Owner. Here we can decide whether to include records owned by all users or only by the logged-in user.
For example, if you choose “My Records,” then each sales agent will only get their own Accounts, Contacts, and Opportunities offline. This makes the data more secure and ensures users only download the information they actually need.

After that, we can also add child objects by clicking on “Add Related Object.” For example, if you have selected the Account object, you can add its related Contacts and Opportunities.
This means whenever an Account record is downloaded for offline use, the related Opportunities will also be included. By doing this, the sales agent will have the complete customer information offline in one place.

In the Objects section, you can see the hierarchy of objects that we added. For example, Account → Opportunity. This helps you understand which records and related records will be downloaded together.
Then, for Opportunity, we can also add filters to display only the required records. For example, you can filter to show only Open Opportunities or only those with a specific stage. This way, the agent does not download unnecessary records, and the briefcase remains optimized for offline use.
Then click the Next button to proceed.

Next, we can assign the briefcase to the following assignments:
- Users: You can assign the briefcase to specific individual users. Example: Assign it only to Alex Kirk.
- Groups: You can assign it to a Public Group, so all users within that group receive the briefcase automatically. Example: Sales Team – West Region.
- Profiles: You can assign it to a Profile so that every user with that profile gets access. Example: Sales Representative Profile.
Once assigned, only these users will be able to download and use the briefcase data offline in their Salesforce Mobile App.

Now we need to select the Connected App. This step indicates to Salesforce which app will utilize the briefcase. In most cases, you should choose the Salesforce Mobile App, as Briefcase Builder is primarily designed for offline access on mobile devices.
Once this is done, the briefcase will be linked to the mobile app, and the assigned users will be able to access their offline data. Now click the Save button.

In the image below, you can see that we have successfully created the briefcase. It shows the objects we added, their related objects, filters, and the assignments.
Once everything looks correct, the briefcase is ready to be used. Now the assigned users can log in to the Salesforce Mobile App and start working with their offline data.

As you open the briefcase and click the Data Set option, you can see the list of all objects and records that are included in the briefcase. This gives you a clear view of which fields, filters, and related objects have been added.
From here, you can also review or make changes if needed to ensure that only the required data is downloaded for offline use.

Then, in the Run As User option, we can choose a specific user to test the briefcase. This is useful when you want to check how the briefcase will look for a sales agent or field user before assigning it to everyone.
For example, if you select a sales agent as the Run As User, Salesforce will display the data that this user can download and use offline. This helps to confirm that the filters, objects, and related records are set up correctly.

In this way, we can create and set up the briefcase using the briefcase builder in Salesforce.
